What is Acumatica?

Acumatica delivers a set of cloud-based business software applications with dashboards, reporting tools, integrated document management, centralized security, and customization tools. It is a modular offering and can be deployed in multiple ways to accommodate business needs, either as an ERP or a narrower (and less expensive) accounting solution with the Financial Management Suite. Other modules are the Project Accounting Suite (budgeting, payroll and time sheet, analytics, and other functions), the Distribution Management Suite (purchasing, ordering, inventory tracking, order filling) and the Customer Management Suite (general CRM capabilities). Unlike many ERPs, Acumatica is not industry specific, and touts capabilities of interest to retailers, eCommerce users, even non-profits, and other possible small to medium-sized businesses desiring to automate business processes.

I use Acumatica for the daily financial transactions of a non-profit organization and its 8 subsidiary entities. Acumatica helps us to create recurring monthly transactions and payments to vendors as well as recurring invoices to customers across all our entities. Being able to switch between entities without having to log out and log in allows us to be more productive. Having all our financial data in one location enables us to more easily locate and provide data to the board or auditors as needed.

It has been helpful in creating recurring monthly payments to vendors and invoices to customers whether the amounts are identical or need to be modified. However, figuring out how to make it an automatic process rather than manually initiating the process is not straight forward and required researching how to get the process working the way we wanted.

Acumatica is the backbone of our Finance and Administration as well as our Construction Management departments. Acumatica streamlines our accounting practices and connects them to the construction management department resulting in increased efficiency as well as greater visibility when it comes to managing the performance of construction projects as well as the employees that manage those projects. Acumatica has brought the organization's information together in a way that enables management to make better strategic decisions.

Acumatica works well for medium to large businesses with strong accounting procedures in place, it is a program for those companies that have outgrown Sage50 or QuickBooks Desktop and need to take their Finance software to the next level. The added complexity and some of the restrictions that come with robust finance software would likely be a burden on smaller organizations. Being an Acumatica Construction user, the Construction version specifically is well suited to any construction company that wants to take the leap to digitizing their construction processes.

West Coast Sailing migrated from Quickbooks to Acumatica to automate and modernize our retail fulfillment operation. The native commerce connector allows for a more seamless connection with our BigCommerce storefront. The cloud-based, fully customizable solution allows our team to operate from anywhere. All aspects of our business have benefited from this ERP - we operate faster, smarter, and with less manual work.

We use Acumatica to manage inventory, distribution, and finances. Our inventory comes with a lot of variations. Using Acumatica's Template Items module allows us to maintain accurate records for parent-child relationships between SKUs. This module also integrates with our ecommerce platform, making product sync seamless and real-time.

Acumatica handles our project accounting needs (budgeting, cost projections, invoices, checks, etc.). We use it in conjunction with Timberscan to handle paperless invoice approvals. We use Velixo to handle reporting and linking to excel needs. The native functionality doesn't fit our needs perfectly and so we have had to customize it.

We switched from another ERP to Acumatica and went live June 1, 2021. We wanted Cloud software that would be flexible and allow us to improve our business goals. We use Acumatica to email our customer all of their transactional information. Pick Up Ready, Order shipped with tracking numbers, and Invoice copies. We have made changes to the views in Acumatica to give us instant information that helps us speed up our processes.

  • Download many of the queries and reports to Excel
  • Helps us make sure we have the correct amount of Inventory
  • Automatically emails our customers Invoices and Statements
  • In the GL we would like to see more batching than individual entries
  • I would like be able to have a next button in the Inventory Summary so you can easily skip through it.
  • I would like more reports added to all of the modules.
I think Acumatica completes well against all of the ERP software in the market. I like that fact that you can have as many people logged in as you need. This allow you to open many screens in Acumatica in Google which makes the software easier to use. We use the Distribution edition and that works well for us as we are wholesaler and have apx 5,000 products. The Inventory module is very deep and would serve any Wholesale Distributor Well.

We use Acumatica as our ERRP and customer service portal. There are some good things about how the notifications work and parent records that are an issue for Example for ticketing I can't have a Parent and only let some people have access to their specific child. For example, it is a global business that is set up into regions and those regions have areas that are managed individually. I cant only give access to a region or an area easily and give certain people global access.

Expenses are my biggest issue. I have to enter the same thing on each line over and over when I think that it should be able to be set at a master for example the project number. If I have 15 items to expense I have to enter the same project number on each line.

I have been learning the back-end ways to configure and customize Acumatica and have become our in house Administrator. There are a few standard reports that we wish had more data fields or would function in different ways (i.e., that agings to age by invoice date instead of due date, etc.) we would also like to see the standard reports exported format to look a little cleaner and more organized. Also wish report designer program was a bit more user-friendly and easy to use.

We use Acumatica as our main ERP software. It is used for financial and accounting purposes, supply chain and purchasing, order entry, production planning and more. Having a single software to manage many different processes within our company is beneficial, as it allows multiple facets of the company to be inter-connected and able to view data from all aspects.

It is great financially to collect and manage data, along with order entry and customer management. We also use the software for production planning and manufacturing. We utilize Acumatica for retail trade. Due to having multiple franchise locations across the Nation, we needed a system that could support multiple locations using one system, with the ability to have customizations written to have the systems sync pricing, notes, etc., nightly. Each franchise location has a separate tenant, however with customizations we are able to have data sync across all tenants allowing them to have the most accurate information synced nightly. This would not have been possible with any other ERP!
  • Acumatica has a lot of flexibility in regards to processes & their function.
  • Acumatica allows the automation of numerous processes that are otherwise time consuming.
  • Acumatica allows us as users to gain access to our system from anywhere, this is necessary.
  • We often run into strange one-off glitches that cause a Sales Order or invoice to miscalculate and provide inaccurate order totals.
  • The return process in terms of a PO return receipt can be quite confusing, as when linked to a drop ship PO it does not re-open the sales order by itself.
I feel that Acumatica is a very robust system that is well suited for medium - large companies. Small companies may find that there is much more reports/modules/GIs than what is necessary for them to run their business, and it can seem overwhelming at first.

During reviews with our franchise locations, we are often told that Acumatica is not very beginner friendly, so I feel Acumatica is much better suited when in the hands of an experienced customer that can then provide support & help for the beginner user!

Acumatica is used for sales as well as inventory management. Acumatica has assisted with consolidated financials as well assisting with information about customers in multiple lines of business. Acumatica has assisted us to streamline MRP as well and has given us visibility to move to an ecommerce platform and the ERP is a single source of truth.

With Acumatica, we were able to implement a true fund accounting system and manage our grants better and more automated, minimizing the use of Excel spreadsheets. We also love being able to attach our backup so it's right there in the system and it helps reviews, approvals, and research so much faster!

Acumatica does a great job of workflow from the entry of a customer to the Sales Order, to the shipment, to the invoice. It is easy to train employees, even a person who is not great with computers, to accomplish those tasks.
