Are use Webexpenses for all my expense claims in relation to apprenticeship assessments that I conduct. This makes it quick and easy for me to submit my expense claims, for my line manager to approve the claims and forward them to finance for processing.

I think that Webexpenses is well suited to my needs. It is a quick and efficient way for me to submit my expense claims. I would be happy to recommend this service to other businesses. For expense claims, I cannot think of an area where this would not be appropriate.

Use it for all of our Credit Card reconciliations and all of our out of pocket/mileage claims.

Saves time for us all - with the easiness of just taking a photo and uploading this to the app, where the cost is already sat after being imported from our bank directly.

Employees can submit expenses quick and easily compared to the old paper based methods.

For lots of staff who travel a lot, have a variety of expenses this is a great product that saves them having to collate lots of paper. It reduces the risk of lost receipts and unknown items. I think, for companies who want a quick easy way to view expenditure, track credit cards and deal with out of pocket claims easily this is perfect.

We will be using Webexpenses expense management features across our entire company. Webexpenses streamlines employee expense capture and tracking, and creates uniformity and consistency for the approving supervisors and accounting staff. This process offers flexibility for the end-user to process each expense. The multiple approval levels ensure policy compliance.
  • Optical receipt capture.
  • Receipt matching to bank card statement line items.
  • Claims dashboard for easy review.
  • I'd like to see improved functionality for intra-departmental account code selection.
  • The report writing is limited
  • The claim item processing for split expenses is glitchy and we often need support to complete the split
  • Customer service responses can be slow.
This program may be complicated for older employees who are less tech savvy. During onboarding, many staff had difficulty with the steps for marking an expense as credit card vs. personal spend. Webexpenses is a significant improvement over a manual reconciliation process.
Certain situations with split credit card expenses seem to cause the system to hang-up, often requiring tech support to correct.

We were better off printing off credit card statements and getting people to provide hard copy receipts. Very slow loading program, calculates foreign exchange rates incorrectly, reporting produces information different to what is recognised in the system itself. Regularly have to wait months for a response to an email or support ticket. Don't waste your time with this product.

  • It shouldn't take 60 seconds to load a page, on every page.
  • It shouldn't take 60+ days to get a response to a basic support ticket
  • It should be able to use logic to calculate two numbers noted in it's system, rather than pulling a completely different figure
If time is important to you, Webexpenses is a bad choice. If you use multiple currencies, this does not work. If something goes wrong and you don't know code well enough to fix the product yourself, this is not the product for you. If your company uses credit cards, find a better product.

We use Webexpenses to manage our personal expense reimbursements and credit card expenses reports. It allows us to store receipts prior to submitting, track employee mileage, and assign expenses to their respective accounts. Webexpenses helps us track travel expenditures, which are frequent in our industry, especially for our sales and PR teams.

I think Webexpenses is great for smaller organizations but maybe not for larger ones. It's also a good fit for positions that require travel that employees track and are reimbursed for mileage or personal expenses. I definitely would not depend on the mobile app if you can't also use Webexpenses on desktop. Sometimes it's glitchy and requires you to use both.

I primarily use Webexpenses to keep track of mileage and various other company related purchases. Such as amazon orders, fuel receipts and mileage.
  • It is very user friendly and easy to use.
  • It keeps track of mileage and automatically calculates the rate.
  • It is easy to upload receipts and invoices.
  • It is quick and easy to get up to final approval before each pay period.
  • I really can't think of any. Aside from maybe the first time I used it. I was a bit confused until I watched the tutorial video and then it was a cinch.
It is extremely user friendly for tracking mileage and the going rate for mileage expenses. I also find it very easy to make amazon purchases and upload the receipts of payment to get my personal funds back in my account quickly.

Used for monthly expense reports and payments. Enables staff to enter expense receipts for any payments made for work purposes. As the company has a lot of remote staff, they are able to use the system to claim back mileage which is automatically calculated based on number of miles completed.

I find the system Well suited for internal expense payments especially as many staff are remote based and may not have regular access to laptops which makes the phone app highly beneficial. Can not envisage it being appropriate for external use however this is mainly due to the fact that we are currently using an internal system that addresses all of our needs for client payments.

With the nature of my job i work away from home a lot and incur charges and fees constantly. Webexpenses enables me to keep track of what I have spent, when and why. This is then relayed back to the accounts department and they are able to see a compiled amalgamation of all my monthly spendings accomponied with relevant receipts. This enables me to be paid on time and the correct amounts.

Webexpenses allows me to record my expenses on the go without the hassle of clicking on multiple programs and software. It coallates all of my expenses in one place so i can refer back to them should a query arise. I dont think ill ever need to use another expense software.

the use of taking photos as you get reciepts and then the ability to submitt and save favourites is a great help.

Our company uses Webexpenses to manage all staff expenses and credit card transactions.
  • Customisable downloadable reports mean we can manipulate data to suit our business needs
  • In my exerience, not end user friendly. e.g if an authoriser gets updated mid claim the claim needs to be re-done. The updated authoriser does not instantly update on a users account
  • In my experience, quite buggy. Can take few times to upload the credit card statement due to unknown issues
  • Support sometimes do not respond
  • System bugs such as vanishing fields after user inputs and saves an item is frustrating

I use Webexpenses for my company credit card reconciliation, photographing receipts easily on my mobile phone and saving as I go. I then reconcile this expense at the end of each month, logging details of attendees, both internal and external. I also use the programme for any personal expenses accrued over the month.

It works well for logging my company card purchases or personal expenses. I like that I'm able to take pictures of receipts on my phone and they are tagged to expenses on the go, rather than saving all my receipts for the month and logging at once.

There are restrictions on adding minimum attendees to purchases, but I assume that is an internal control.

It was difficult at first shifting from using excel sheet to Webexpenses as I need to scan all documents and upload to the system. As I progress, it is become user friendly for me and I can easily track my previous expenses using Webexpenses. Less error was observed based from my experience.

  • Once the photo of the receipt has been uploaded, it should only be one click and not too many clicks
It may be difficult adjusting to the system but as you use it frequently, it is user friendly and you can track previous expenses. It can detect the amount and it can also detect if the previous receipt has been used. You can see the status of your reimbursements realtime.

Makes it very easy to be able to rely on my expenses being checked, authorized, approved, and paid all within a timely manner. Does not need multiple field inputs for basic receipts, and keeps me updated with relevant communications regarding the progress of claims. The best feature is the mileage calculator which allows the starting point and destination to be easily calculated.

Webexpenses is being used to submit personal expenses. All staff can access it and have their accounts along with the finance department. We also are using it to submit our company card expenses as well. The Finance department does it. It helps us to control our cost control and analyze our spending.
  • Easy to submit the invoices when the values are matching.
  • Good reports, could be compatible to different accounting softwares.
  • VAT split does not work on the CC upload batch, needs to be amended manually.
  • When uploading the receipts, often fails, cannot understand the reason.

We use Webexpenses for expense management within the company. I had used different other systems before where I have to mention so far I am impressed by the simplicity and how easy it is to understand the context within Webexpenses.

It's perfect for expense management in small & medium businesses. I would assume it could fit for large enterprise as well. In my former employer we were changing the expense system 3 times over the years but all of them were very complicated to handle, slow in performance and usually not integrated with different devices.

Webexpenses is good for the use on the mobile phone for inputting claims and also attaching photo receipts. I use this service at least once monthly. I do not like that you have to wait for a previous claim to be approved and paid until you can put a new claim in. I also do not like that it can look like a claim has gone through but you still have to click submit which has confused some of the staff members when making a claim.

  • shouldn't need to have to put claim through twice by have to click submit when going back into the claim
  • Mobile use not very good for putting multiple claims in under different categories as will not bring down the drop down boxes easily. Then need to use the desktop.
  • Having to wait for a previous claim to be approved and then paid before put another claim in. Can be slow.
Good for a staff member to put in petrol claims as webexpenses can work out the milage for the staff member and also the rate of pay for travel. Not as good with multiple claims for petty cash such as over a few months as need to use the computer for this rather then the mobile.

We use the product to enable us to work from home while also having the equipment needed to do so. The company will also allow us to use it for treats that they have advertised, such as getting an ice cream on a hot day on the company. I have used the product in the past to claim ink expenses, laptop trays, etc.

  • Easy to use
One day we had an emergency, had to print off some files that needed to be picked up by courier. Could not attend office at the time. Went to buy ink for personal printer in order to print work documents. Claimed the expense back, and had the money returned within the week.

It is difficult to use for small purchases that may not come with a receipt.

I use Webexpenses to file and send any expense claims for approval to line managers. I store a record of receipts of incurred costs on training, travel or trips when working. Once receipts are added and claims raised, the claim is sent to a designated approver (usually a line manager) for approval. Once approved, instruction to reimburse me is sent to finance.

  • Not user friendly app.
  • Adding receipts is confusing and offers various options.
  • It far too often asks you to save a claim when changing pages and then crashes.
If I were to attend a business trip, my company allows me a capped amount to spend on subsistence (meals, etc.) when away. Once I return, I photograph all receipts and upload to Webexpenses to clearly apply for reimbursement. The same can be done with e-receipts for private hire cars or taxis.

I use it to reimburse any travel expenses and sustenance expenses I incur in my daily role, I use it to keep track of my spending and mileage also. it helps us as a business to view trends in travel patterns and gives us a transparent view of where our colleagues traveling to and making sure they are being reimbursed for all company expenses.

  • Easily works out mileage from one past code to the other.
  • Easy to produce receipts and keep on top of inputting expenses.
  • Sometimes picks up the wrong information on the receipt.
  • Asks the same thing twice when inputting mileage expenses.
  • I'd like to be able to copy a previous expense if traveling to the same place monthly, etc.
Easy to use and well suited to people who are field based and travel within their role. Can easily keep track of expenses you've inputted and expenses that are outstanding. Easy to scan receipts and keep them on the app and stops you from hoarding hundreds of receipts each month.

I use Webexpenses to submit claims against my CPD allowance, or for work related expenses.

We use it for mileage reimbursement.
We switched to Webexpenses for our mileage reimbursement. It takes twice as long to enter our information, doesn't remember addresses, doesn't have predictive text, and has far too many categories to fill out. If an efficiency expert came in and observed this, they would be disgusted at how much productivity is lost by using this. I would never recommend this product and cannot believe my company does.

We use Webexpenses to upload and consolidate all receipts and charges associated with credit cards used. Problems we faced were lost invoices and receipts which Webexpenses has resolved this problem with its seamless upload of receipts functionality. Time to fill in expenses on a monthly basis has also decreased dramatically.

A person who needs to keep receipts in check where this program easily allows for uploading of receipts with a set and forget type of scenario. For a frequent user of cards. I use Webexpenses because it is the system that the University uses for employees to make expense claims. I don't know if it addresses any business problems. However, I am sure that it creates many problems for me. In my experience, I usually spend several hours on it to complete an expense claim. The worst of all is adding scans of receipts. The system does often not realize that a change has been made, and pressing "save" does absolutely nothing. When receipts are attached, it is not predictable which receipt is attached; it may be one from years ago; I have no way of telling because once it is attached, it is not possible to check what was attached. In my opinion, this system makes me (a Professor) spend many hours making a claim (which is then rejected because of the way it operates). It is one of the worst systems the university uses, in my opinion.
